Basic Function of the Position

The Non-Medical Inventory Management Officer is responsible for the proper management, control, and monitoring of all non-medical inventory items, including office supplies, cleaning materials, maintenance supplies, IT consumables, and other operational stock. The position ensures accurate stock records, optimal inventory levels, prevention of stock-outs and overstocking, and compliance with internal policies.

Duties and Responsibilities

•     Manage receipt, storage, and issuance of all non-medical inventory items.

•     Maintain accurate inventory records in the inventory management system.

•     Monitor stock levels and establish reorder points.

•     Conduct regular physical stock counts and reconciliations.

•     Investigate and report inventory discrepancies.

•     Coordinate with procurement for timely replenishment.

•     Ensure proper storage conditions and stock organization.

•     Implement FIFO/FEFO principles where applicable.

•     Prepare monthly inventory consumption and variance reports.

•     Monitor slow-moving and obsolete items.

•     Ensure compliance with company inventory control procedures.

•     Support internal and external audit processes.

•     Other duties as assigned by Washington Healthcare PLC.

Additional Temporary Responsibilities (Until Dedicated Officers Are Appointed)

In addition to the core non-medical inventory responsibilities, the Non-Medical Inventory Management Officer shall, temporarily, perform the following duties:

Laboratory Reagents Inventory Management

•     Oversee receipt, storage, and issuance of laboratory reagents and consumables.

•     Maintain accurate stock records for laboratory reagents.

•     Monitor stock levels, expiry dates, and consumption trends.

•     Apply FEFO principles to minimize expiries and wastage.

•     Coordinate with laboratory management and procurement for timely replenishment.

•     Ensure proper storage conditions in line with manufacturer and laboratory requirements.

•     Prepare periodic laboratory inventory status reports.

Fixed Asset Management Support

•     Assist in maintaining the fixed asset register for assigned assets.

•     Support asset tagging, tracking, and physical verification activities.

•     Record asset movements, transfers, and handovers in coordination with user departments.

•     Report asset discrepancies, damages, or losses to management.

•     Support audits and asset verification exercises as required.

Education

•     Bachelor's Degree in Supply Chain Management, Logistics, Business Administration, or related field.

Prior Work Experience

•     Minimum 2–4 years of experience in inventory or warehouse management, preferably in a healthcare or institutional setting.

Job Knowledge

•     Knowledge of inventory control principles and stock management systems.

•     Understanding of warehouse operations and stock reconciliation.

•     Familiarity with ERP or inventory software systems.

Skills and Abilities

•     Strong analytical and numerical skills.

•     High level of accuracy and attention to detail.

•     Proficiency in MS Excel and inventory systems.

•     Good organizational and reporting skills.

•     Ability to work under minimal supervision.
